Setting up Bookup

Your team, your services, your hours, and the link customers book through.

  1. Add your team0:00

    Bookup → Team members. Add everyone who takes appointments. A solo shop can skip this entirely , you get one shared calendar and it works the same.

    Each person gets their own calendar, their own hours, and their own list of what they do.

  2. Switch someone off while they're away0:08

    If someone is on holiday or out for a stretch, deactivate them on Team members rather than deleting them. They disappear from the booking page and stop taking appointments, and their hours, services and history are all still there when you switch them back on.

    For a day or two off, use time off on the calendar instead , see below. Deactivating is for the longer absences.

  3. Add your services0:16

    Manage → Services. Each service needs a name, a price and how long it takes. The duration is what stops two appointments overlapping, so it's worth getting roughly right.

    Services don't carry their own hours. When something can be booked comes from the people who perform it, which is the next step.

  4. Set working hours and time off0:16

    Hours and time off both live on the calendar, under Bookup → Calendar.

    The calendar has two modes, and this trips people up: Book is for making and moving appointments, Time off is for hours. Working-hours bands and time-off blocks are only drawn in Time off mode. In Book mode you'll see hatching over the hours you're closed, but not the bands themselves , so if you've just set hours and the calendar looks unchanged, switch to Time off and they're there.

    In Time off mode, drag on the grid to mark the shop closed. Click the × on a band to remove it. Green bands are working hours; grey bands are time off.

  5. Change what someone offers0:23

    Team members → pick the person → their services. Tick and untick what they do.

    Someone who doesn't offer a service simply won't be offered for it on the booking page. This is the right lever for "she's not doing colour today" , you don't need to touch the service itself, which would take it off everyone.

  6. Share your booking link0:40

    Bookup → Calendar → Copy booking link. That's your public page: your services, your prices, and only the times you're actually free.

    Put it in your Instagram bio, your Google listing, your text replies. It doesn't expire and it updates itself as your calendar changes.

  7. Handle bookings as they land0:50

    New bookings appear on your calendar and you get an email. If you've set Approvals to manual, they wait under Approvals until you accept , the customer is told it's a request, not a confirmation.

    On automatic approval they're confirmed straight away and the slot is held.

  8. Prices and add-ons1:07

    Manage → Services is where prices live. The Options button on a service row is for choices and add-ons , a long-hair surcharge, a toner, anything that changes the price or the time.

    A group set to pick one is a required choice, like short or long. Pick any is optional extras. Both adjust the price and duration the customer sees before they book.

Worth watching for

  • If your hours look like they didn't save, check you're in Time off mode. Book mode doesn't draw the bands.
  • Deactivate someone who's away rather than leaving their calendar live, or they'll keep taking bookings.
  • Set durations honestly. A 45-minute cut booked as 30 is how the day starts running late.
  • Before you send the booking link anywhere permanent, open it yourself and try to book something.

Getting more out of it

  • Give everyone hours before you share the link. No hours means nothing is bookable, and the page looks broken rather than closed.
  • Removing a service from one person is almost always what you want, not deleting the service.
  • Bookup is free on its own, and pikcup fills the gaps it leaves. Cancellations here are detected the moment they happen.
